We are the event organiser for The Leaders Summit for HR & People global series. We collect and process personal data to:

During registration and participation, we may collect/record:

  • attendance and check-in information
  • badge scanning information (where applicable)

Registration & App platform: we use Sitka Ltd to operate our registration and app solution.

We collect:

  • website usage data (e.g., pages visited, time spent, referring page)
  • device/browser information
  • IP address (where applicable)

Website provider / analytics: ASP Events Ltd provides website analytics.

3.4 Media and recordings

We take photographs and video at our events for:

  • our promotional purposes, and
  • clips/content clipped for each sponsor for their own promotional purposes.

We also record Keynote Theatre sessions and “Findings” from our Elevated Think Tank (roundtable discussions). These recordings are sometimes published.

Opting out of photography and/or videography

  • providing access to event materials (including via the app, where offered)

  • providing sponsor access to attendee details as described in Section 6

  • responding to enquiries
  • post-event follow-up (including sharing relevant information where appropriate)

  • producing and publishing event content
  • providing clips/content for sponsor promotional use
  • retaining event archives and marketing materials (as applicable)

  • monitoring performance and improving website/app experience

We share data with vendors who help us run events and operate our platforms, such as:

  • Sitka Ltd (Registration & App platform)
  • ASP Events Ltd (website analytics / website provider)
  • IT, hosting, email/CRM and event operations service providers used by us under contract

These providers process personal data on our instructions and are required to protect it.

6.2 Sponsors

Headline Sponsors (maximum of 5 per event) receive the following details for all attendee delegates:

  • name
  • job title
  • email address
  • phone number
  • approximate event location details
Standard Sponsors and Partners (maximum of 20 per event)

Standard Sponsors and Partners receive these details where they have scanned attendee badges. This is based on the attendee badge information made available at scanning (typically your name/job title/email/phone and related badge details).

6.3 Media to sponsors and for publication
  • We provide photos/videos/clips for sponsor promotional purposes.
  • Keynote Theatre sessions and Elevated Think Tank “Findings” may be published.
6.4 Professional advisers and legal/safety disclosures

We may share personal data with:

  • auditors, lawyers, and advisers
  • authorities (where legally required) or where necessary for safety, security, or legal compliance
7) International Data Transfers

Because we operate globally, personal data may be transferred outside the UK and/or outside the country where the event takes place.
